Assistant to the Head of School

Conserve School is looking for an energetic and dedicated individual with an interest in environmental sustainability and education to serve as the Assistant to the Head of School.

The Assistant to the Head of School position is a year-round full-time hourly position.

The successful applicant will be able to multi-task a wide range of duties including administrative support, basic human resources and simple accounting.

Salary and Benefits

Salary will be commensurate with qualifications and experience. Meals are provided when students are on campus. Position Description

Essential Functions

The Assistant to the Head of School is a nonexempt position and reports directly to the Head of School.

The Assistant to the Head of School provides administrative support to the Head of School, performs basic human resources functions, and provides low level accounting assistance to the Business Office.

The following physical and cognitive skills and abilities are necessary for the Assistant to the Head of School to successfully perform the essential functions listed above:

  • Ability to work on the campus of Conserve School.
  • Ability to qualify and maintain status as a Notary Public.
  • Ability to see and hear sufficiently well to monitor activity, interactions, and environmental sounds. Aware of surroundings.
  • Ability to effectively communicate clearly to children and adults, orally and in writing, using the English language.
  • Ability to use judgment to solve problems and make decisions, including in stressful situations.
  • Ability to effectively regulate emotions.
  • Ability to establish respectful rapport with a wide variety of people.
  • Ability to maintain confidentiality.
  • Ability to take direction and correction.
  • Ability to work for prolonged periods in various postures and positions, including standing, walking, climbing stairs, bending, and kneeling.
  • Ability to lift and carry up to 30 pounds.

Nature and Scope of Duties

Duties of this position include, but are not limited to:

Administrative Support

  • Assist the Head of School in daily school administration and organization,
  • Manage organization memberships and other school files and reports,
  • Place recruitment ads, process applicant files and coordinate the interview and hiring process,
  • Insure the smooth operation of the administrative office by ordering supplies including office paper, stationary, and business cards,
  • Perform routine receptionist responsibilities including answering the telephone, greeting, assisting, & directing visitors, and providing support to all staff,
  • Provide support to school administrators through participation in the leadership team,
  • Scheduling and travel arrangements for conferences, meetings and marketing opportunities,
  • Assist/coordinate/direct special school and staff events,
  • Support the school and its leadership,
  • Other duties as assigned.

Human Resources

  • Benefit administration and coordination of all plans, COBRA Administration,
  • Perform Human Resource functions relating to the hiring process including background checks and drug screening scheduling,
  • Maintain personnel files,
  • Develop, refine and review the personnel policies and the staff manual,
  • Coordinate congruence between policy and procedure,
  • Make staff aware of policy/procedural changes,
  • Develop/refine and maintain staff job descriptions,
  • Participate in the negotiation of insurance and other benefit renewals,
  • Handling insurance premium payments and reconcile monthly bills,
  • Keep current on human resource laws,
  • Miscellaneous accounting duties when Controller is unavailable,
  • Support the school and its leadership,
  • Other duties as assigned.

Business Office

  • Back up basic Business Office functions,
  • Perform various data entry/process functions for the Business Office at times, including, A/P, A/R, and student files.
  • Miscellaneous accounting processes/procedures when Controller is unavailable,
  • Process end of year 1099’s with Controller,
  • Review and reconcile payroll bank account.

School Wide

  • Support and communicate to students, staff, guests, and community the mission, vision, and values of Conserve School.
  • Assist students in developing a trusting, supportive living-learning community by teaching and role-modeling the Conserve Code, (which includes refraining from the possession or use of illegal drugs), maintaining appropriate relationships, and practicing skills such as listening, communicating clearly and directly, demonstrating flexibility, managing stress, making thoughtful decisions, seeking help when needed, and resolving conflicts professionally.
  • Ensure the safety and good order of students at all times. Staff are expected to take the initiative and keep or restore order wherever and whenever it is needed, and to respond to emergencies at all times, even if not on duty.
  • Participate sincerely in the staff assessment and evaluation process.
  • Participate, as needed, in all-school projects, including accreditation.
  • Support the school and its leadership.
  • Other duties as assigned.
